How does the waitlist work when a class is full?
When a session is full, clients are placed on a waitlist. Once a spot becomes available, Bookora either automatically books the first in line or sends them an email with a response deadline, depending on the setting you have chosen. If the deadline passes without a response, the spot does not automatically move on to the next person.
When a session is full, clients who want a spot can enter the waitlist instead of being left outside. Once a spot becomes available —usually because someone canceled— Bookora notifies the first in line. How this happens depends on a setting of yours: automatic booking or time-limited offer.
How does a client enter the waitlist?
When a session is full, the client sees the "Join Waitlist" button instead of booking a spot. To enter, they need to have an active session pack for that category of service — if they don't, they cannot enter the list.
What happens when a spot becomes available?
It depends on the promotion method you have chosen:
Automatic booking. The first in line is immediately booked into the vacant spot, without needing to do anything. They receive a confirmation email and one session is deducted from their pack.
Time-limited offer. The first in line receives an email with the spot waiting for them and a deadline to respond. If they click "Accept Spot," they are booked immediately. If they click "Pass," the offer goes directly to the next person on the list — the client does not leave the waitlist, they simply lose that specific spot and remain there for the next ones.
Both methods have a common limit: if the session is very close to its start time, the promotion does not even begin — the spot simply remains vacant. In automatic booking, the limit is 30 minutes before the session. In the time-limited offer, the session must be further away than the deadline you have set — otherwise, the client would receive a deadline they cannot even use.
Where do I change the promotion method?
- Open Settings and go to Scheduling.
- In the Waitlist section, choose Auto-Promote or Time-Limited Offer.
- If you chose a time-limited offer, set how many hours the client will have to respond (from 1 to 24 hours).
Where do I see who is waiting for a session?
Go to the calendar, open the session you are interested in, and click on the Waitlist tab. You will see the order of priority, the name, and the email of each client waiting, and you can remove someone if needed. A client who has already received a time-limited offer does not appear here while you wait for their response.
